What ANC is looking for…

An Operations Administrator to be the core administrative base of all aspects of project coordination; supporting the ANC Fixed Projects Team and Live Events team.

Administrative/Management

  • Assist Operations Dept in day-to-day coordination and management of business operational activities.
  • Evaluate, compose and monitor documentation for project contractual requirements, such as submittals, Substantial Completion prerequisites, Warranty and Close-Out submittals.
  • Create and monitor Purchase Orders and Change Order Requests for timely approval.
  • Communicate with subcontractors for necessary submittals such as lien waivers, COIs and W9s.
  • Generate and update Basecamp project files.
  • Ensure timely submittal of required credentialing for safety, training or other certifications.

Coordination/Scheduling

  • Travel and scheduling assistance for Management Team.
  • Schedule freelance and stagehand labor; complete and maintain all necessary paperwork.
  • Confirm appropriate staffing has been assigned to all events and projects.
  • Schedule and negotiate cross-rental equipment as required; including pick-up and return of equipment.
  • Complete all necessary Event Advance Requests (submitting requests for catering, radios, heavy equipment, etc.).
  • Assist the Projects Travel Coordinator, when needed, in securing lodging and other travel related services for crews.
  • Schedule, track, and provide support materials for meetings and project events.

Reporting

  • Consolidate and distribute Project summary reports, including event forecasts and financial critique reports, to Management Team.
  • Compose minutes from weekly progress meetings, and various management meetings, as needed.
  • Update project budget sheets with approved PO/CO data, with direction from Project Managers and Finance.
  • Input rental and labor purchase orders into the inventory system.
  • Generate and submit per diem requests for review by accounting.
  • Monitor and report on expense budgets for special Capital projects.
  • Set-up approved folder hierarchy for new projects, including Sales/Estimating documents.

The right candidate has…

Education/Training

  • Bachelor’s Degree from an accredited institution preferred, and/or equivalent related experience.
  • 2+ years as Operations Administrator or Project Coordinator in a Construction-related field, or Construction Management graduate.
  • Intermediate computer skills.

Skills & Knowledge

  • Capability to read, understand and record information from standard construction project documents such as RFPs and contracts.
  • Basic knowledge of construction, architecture or engineering industry. Experience in LED display industry is a plus.
  • Strong interpersonal skills with the ability to interact with executive level and internal & external clients.
  • Organizational and attention to detail with the ability to prioritize and manage changing needs of the business.
  • Proficiency with Microsoft Office products, especially Excel.

Communication Skills

  • Ability to provide efficient, timely, reliable and courteous service to upper management and Operations Team.
  • Excellent written and verbal communication skills.
  • Strong organizational and analytical skills.
  • Ability to effectively present information, solve routine problems and provide input to team.
    Good judgement and reliability.
  • Know-how to seek guidance on assigned tasks outside work scope.
  • Strong communication skills to ensure documentation is accurate, timely and coordinated with management and project managers.
